Privacy Policy

1. Who We Are

Screenfy is a product of Cortela, a Canadian-based company that provides AI-powered tools to help users improve their communication and interview skills. We are committed to protecting your privacy and handling your personal information responsibly.

2. What We Collect

When you use Screenfy, we may collect the following information:

  • First and last name
  • Email address
  • Selected subscription plan
  • Essential session cookies (for secure login/session continuity)
  • Interview session logs (e.g., number of questions completed and attempted)
  • Average performance score (for feedback analytics)
  • Login dates and account activity
  • User-initiated account changes (e.g., email updates, password changes, account deletion, plan upgrades)
  • Optional CV / resume uploads used to personalize interview questions

We do not store audio recordings or interview transcripts. Transcripts are processed only temporarily for AI feedback and then discarded.

2.1 Optional CV / Resume Uploads

If you choose to upload a CV or resume for Job Interview Mode, we use it only to improve question relevance for that interview setup. Uploading a CV is optional.

When you upload a CV, our system:

  • Accepts only PDF or DOCX files up to 5 MB
  • Parses the file in memory and does not permanently store the raw file for ongoing use
  • Uses AI to extract a limited, sanitized profile such as skills, experience, projects, education, certifications, tools, and similar professional background fields
  • Does not intentionally store personal identifiers from the CV such as your name, email address, phone number, home address, or date of birth as part of the personalization profile
  • Uses the sanitized profile only to personalize a limited portion of generated interview questions

The extracted CV profile is treated as reference data only. It is not used to make automated employment decisions, and it is not sold or shared for advertising.

3. How We Use Your Information

We use your data to:

  • Provide and personalize the Screenfy service
  • Track your progress and deliver relevant feedback
  • Manage subscriptions and payments
  • Improve product features and user experience
  • Prevent abuse, fraud, or technical issues
  • Generate more relevant mock interview questions when you voluntarily provide a CV / resume

Internal session logs (like login times, interview counts, and average scores) are used solely to power your dashboard, ensure account integrity, and troubleshoot issues. These logs are not sold or shared with advertisers.

For CV-based personalization, our AI uses only the sanitized extracted profile to tailor a small subset of interview questions to your background. The feature is designed to support practice realism, not to score you differently or infer sensitive personal traits.

4. Cookies and Tracking

Screenfy does not use advertising or cross-site tracking cookies. We only use essential authentication cookies to keep you securely logged in and maintain your session while using the service. We will ask for your consent before enabling any non-essential analytics or marketing cookies.

These cookies include:

  • Session cookies โ€” temporary cookies that expire when you log out or close your browser
  • Remember-me cookies โ€” persistent cookies that allow you to stay signed in for up to 14 days on trusted devices

These cookies are strictly necessary for account access and session continuity. They are never used for advertising or third-party tracking. If we introduce analytics or other cookies in the future, we will update this policy and, where required, request your consent before enabling them.

5. Third-Party Services

We use reputable third-party providers to deliver core services such as payment processing, email delivery, and AI processing. These providers may receive limited personal data only as necessary to perform their services, and are contractually required to protect your information.

Examples:

  • Payments: Stripe handles payment card processing. Payment information is transmitted directly to Stripe and is not stored on our servers. See Stripe's Privacy Policy for details.
  • Email: We use third-party email providers to send transactional emails (account verification, password resets, receipts).
  • AI processing: Where we use third-party AI services, audio, transcript, or optional CV-derived profile data is sent only as needed to generate interview questions or feedback. CV uploads are used to extract a limited professional background profile for personalization and are subject to the retention limits described below.

6. Data Retention

We retain account data and session logs only as long as your account is active and as necessary to provide the service. If you delete your account, we will remove your personal data from active systems and backups within a reasonable period โ€” typically within 30 days โ€” unless retention is required by law or to complete a transaction you requested.

Certain aggregated, de-identified metrics (for product improvement) may be retained longer if they cannot reasonably be linked back to you.

Optional CV / resume personalization data is retained for a much shorter period. The sanitized CV profile created from your upload is automatically deleted within 24 hours of upload, and you may also remove it earlier from the product where that option is available. The raw uploaded CV file is not intended to remain stored as an ongoing profile asset after processing.

7. Your Rights

You have the right to:

  • Access or update your account information
  • Delete your account and associated data
  • Request clarification on how your data is used

8. Children's Privacy

Screenfy is intended for users aged 13 and older. If you are under 13, do not use the Service. We do not knowingly collect personal data from children under 13 years of age.

9. Security

We take reasonable and appropriate technical and organizational measures to protect your information. These measures include encrypted connections (HTTPS / TLS), token-based authentication, strong password hashing (e.g., bcrypt or Argon2), role-based access controls, and routine security reviews and vulnerability testing.

Audio and transcripts: we do not store raw audio recordings. Transcripts are processed temporarily to generate AI feedback and are not retained in identifiable form after processing unless you explicitly opt in to storage.

CV uploads: the raw uploaded CV is processed for extraction and the resulting sanitized profile is automatically deleted after 24 hours or sooner if manually removed. We also avoid returning CV contents directly through client-facing API responses.

While we work to protect your data, no internet transmission or storage system can be guaranteed completely secure. If we become aware of a security incident affecting your personal data, we will notify affected users and any required regulators in accordance with applicable law and without undue delay.

10. Data Standards & Compliance

Cortela is committed to responsible data handling and aligns its practices with recognized privacy and security frameworks. Our approach is guided by the following standards:

  • PIPEDA โ€” We comply with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA), which governs how private-sector organizations collect, use, and disclose personal information in the course of commercial activity.
  • Quebec Law 25 (Bill 64) โ€” We comply with Quebec's Act Respecting the Protection of Personal Information in the Private Sector (Law 25), which imposes heightened obligations around consent, transparency, data residency, and breach notification for users located in Quebec.
  • SOC 2-aligned security controls โ€” Our internal security practices are aligned with SOC 2 Trust Service Criteria, covering security, availability, and confidentiality. We apply controls including access management, encryption in transit and at rest, audit logging, and routine vulnerability assessments. The third-party providers we use for payment processing and AI services are independently audited against SOC 2 Type II requirements.
  • End-to-end HTTPS / TLS encryption โ€” All data in transit is encrypted using industry-standard TLS protocols.
  • Encryption at rest โ€” Sensitive data stored in the database is encrypted at rest using managed database encryption.
  • Role-based access controls โ€” Strict access management ensures only authorized roles can access specific user data or administrative tools.
  • No raw audio or transcript retention โ€” Audio recordings are never stored. Transcripts are processed temporarily for AI feedback and discarded immediately after processing.
  • Limited CV retention โ€” Optional CV / resume personalization profiles are temporary, deleted automatically after 24 hours, and used only to personalize interview question generation.
  • Data minimization โ€” We collect only the personal information necessary to deliver the Service, consistent with the data minimization principles recognized under PIPEDA and Law 25.
  • Breach notification โ€” In the event of a data breach that poses a real risk of significant harm, we will notify affected individuals and the relevant regulatory authority in accordance with applicable law and without undue delay.

11. International Users

Screenfy is operated by Cortela in Canada and primarily serves users in the U.S. and Canada. If you access the Service from other regions, you acknowledge that your data may be transferred to and processed in Canada or other jurisdictions where our service providers operate.

We comply with applicable privacy laws where we operate. If you are located in the European Economic Area (EEA), United Kingdom, or elsewhere and would like to exercise your data rights (access, correction, deletion, portability), please contact us at support.screenfy@screenfy.ai and we will respond in accordance with applicable law.

12. Changes to This Policy

We may update this Privacy Policy occasionally to reflect product changes or legal updates. We will notify you by email or within the app if material changes occur.
